Aunni’s is looking for a reliable and trustworthy front desk receptionist. Must be punctual and have an excellent work ethic.
Requirements:
- Must have 1-3 years of experience
- Must project positive image, very professional in demeanor and appearance
- Must have customer service skills to visitors and all employees of Aunni’s
- Trustworthy with confidential information
- Ability to work in a fast-paced environment
- Able to multitask
- Excellent verbal and written communication skills
- Ability to adapt to change
- Computer skills including intermediate experience with Word, Excel and the Internet
- Customer Service oriented
- Bilingual English/Spanish preferred
Responsibilities:
- Handle all incoming calls, act and/or route calls appropriately
- Receive, scan, and distribute the mail as applicable
- Assisting Human Resources and admin staff
- Filing, copying, binding, scanning
- Respect and manage calendars
- Scheduling appointments which includes updating admin schedules and sending
confirmation emails
- Preparing any outgoing mail
- Greet visitors with professionalism and a smile
- Responsible to handle sensitive information in a confidential manner
- Take accurate minutes of meetings and follow up for compliance of action items
- Handle inventory, anticipating and confirming needed supplies, ordering, shipping,
verifying receipt of supplies and putting office supplies away in a timely fashion
- Ensure office is always kept clean and organized
- Send reminders regarding upcoming appointments, meetings and events
- Maintain contact lists
- Produce and distribute correspondence memos, letters, faxes and forms
- Reply to email, telephone, fax, chat or face to face enquiries in less than 24 hours
- Maintain the filing system
- Provide research and analysis
- Handle multiple projects using ability to prioritize, ask questions and meet deadlines
- Assist with meeting set-up, event planning and celebrations
- Regularly share ideas on making administrative processes more efficient
